Request the export

You pull an export of clients, caregivers, contracts and documents from your current system. Your current provider knows best which options exist for this - ask them for a complete data export in an open format.

Hand over the data

You upload the export via a secure upload. If no export is possible at all, sample files or access are enough for us: then we build the route ourselves.

Prepare and map

We map your fields to the fields in HerzensManagement, check for duplicates and missing mandatory information, and standardise date, number and character set formats.

Test import

The import first runs in a test environment. Nothing appears in the live system that you have not seen beforehand.

Check and approve

You check samples: are the client records, contracts, documents and the links between client, caregiver and contract correct? We only move on after your approval.

What you should export from ManaCare

Which export options ManaCare offers is not publicly documented - so ask your current provider for a complete data export in an open format. All of the following is useful to us:

Client and caregiver lists as CSV, Excel, XML or JSON
Contract and placement data showing who cared for whom and when
The document archive as PDF, images or ZIP
Invoice data as a record of past billing

If you cannot get an export: we can still proceed. Sample files or access are enough for us to build the route ourselves.

Can I switch from ManaCare to HerzensManagement?

Yes. HerzensManagement has a built-in import function. You supply an export of your data, and we migrate client records, caregivers, contracts, documents and the invoice history. The import is free of charge and there is no switching fee.

Which ManaCare data can I export?

Which formats can HerzensManagement import?

CSV and Excel (.csv, .xlsx), XML and JSON, database exports and document archives as PDF, images or ZIP. In addition, connections via REST interfaces. If there is no ready-made route for your system, we develop the import specifically for you, at no extra charge.

How long does the migration take?

We usually complete the import within 48 hours of receiving your data. The entire switch, including training and go-live, takes seven days.

What does the data migration cost?

Nothing. Data migration, setting up your templates and training are included in the switch - no setup fee, no flat migration fee, not even for larger volumes of data. Until the end of your notice period with your current provider, you pay us nothing.

Do I have to do double work during the changeover?

No. Your history is complete in the system from go-live, so you neither have to re-type old data nor keep two solutions running for months.

What happens if something is missing after the import?

That is exactly what the test import before go-live is for: you check samples and give your approval. If anything stands out, we correct the mapping and import again. Only then does live work begin.
