HerzensManagement is software for care agencies and placement agencies across the entire DACH region. For Austria, it additionally covers the fields and reports needed in day-to-day Austrian agency work. It was developed together with Austrian agencies, and the company is based in Graz.
The core of the software is the same in all three countries. These points are tailored to everyday work in Austria:
Pflegestufe (the Austrian care level), Pflegegeld (the Austrian long-term care allowance), Förderung (public subsidy for 24-hour care), SVNR (the Austrian social insurance number) and WKO (the Austrian Economic Chamber) are dedicated fields in the client profile, not free text in a notes field. This means they can be filtered, analysed and carried over into documents.
Invoice data goes to your tax adviser as a BMD-Export (export for the Austrian accounting software BMD), without retyping and without an intermediate format.
The workflows come from the day-to-day work of leading Austrian care agencies. The terms and sequences are the ones your team already uses.

Full profiles with master data, relatives and care assessment, from first contact to the ongoing contract. Everything about a client is in one place instead of spread across folders, spreadsheets and the inbox.
Profiles with qualifications, languages, driving licence and availability. Who is available when is recorded in the system, not in one person's memory.
The plan is created automatically from the start date and rotation length, including changeover days. Changes carry through to the following dates without anyone recalculating.
A pipeline from first contact to filled placement, plus AI matching that suggests suitable caregivers based on the household's requirements.
Your own templates fill themselves from more than 400 placeholders directly from the master data. Sent by email from your sender address, signed on a mobile phone, without a download and without a login for the recipient.
Recurring invoices to families are created and go out automatically on schedule, one-off invoices take just a few clicks. Payment status and sending log remain traceable.
Emails go out from the system without switching programs. On request, relatives get their own access and chat with the caregiver, each in their own language, with automatic translation.

Data import is a built-in feature, not an extra service. You provide an export from your current system, and we migrate client files, caregivers, contracts, documents and the invoice history - free of charge, without a switching fee and usually within 48 hours of receiving your data. Before go-live, a test import runs that you review and approve.
The price is published on the website and is the same in all three countries. No setup fee, no minimum size. For agencies switching from another software: €4.50 per client per month with all four modules, for contracts signed by 31 October 2026.
